Schedule and manage calls overview
Activity
Users can join a Space for ad hoc calls or calls can be scheduled to take place at a scheduled time and for a scheduled duration within a Space.
The Activity view provides information regarding Space activity now and in the past. (50 of the most recent Spaces.) Calls can only be managed once the call has started and you can navigate to Manage Calls either from the Activity or Meeting coApp.
Super Users, Operators and users see the Activity and Meeting views from their user interface. All three of these user types can schedule calls. However, operators can schedule calls on behalf of other users in one or several tenants, (subject to their Access Control permissions).
Users can schedule their own calls. Administrators can monitor calls but cannot schedule them.
Meetings
The Meetings view provides information regarding meetings which have been scheduled to take place within a Space, starting either now or in the future. A scheduled call takes place at a given time and has a duration. Resources are assigned (reserved) for the call. Scheduled calls are created on the MCU seconds before they are due to start and are deleted from the MCU after they reach their end time. Scheduled calls can be extended, both in terms of capacity and duration, at any time, assuming that the resources (i.e. ports on the Call Bridge and the Call Bridge is online) are available. A scheduled call can exist as a temporary coSpace or on a coSpace that already exists. In this case, the call “inherits” all the properties from the Space, including the URI, which enables the users to dial into the call using a familiar URI – e.g. “mySpace”.
For example, you can create a call to last for 2 hours from 10.00AM next Tuesday . This call can be hosted on a Space you already have (e.g. on “mySpace”).
The call is terminated at its end time; the Space continues to exist as normal. The call can be hosted on a Space that VQ Conference Manager dynamically creates and then destroys after the call has completed.
The Meeting view displays scheduled meetings.
There are several coApps on the Activity and Meetings views which enable users to undertake specific functions. These are enabled at the User Experience ("UX") Profiles level within VQ Conference Manager. This gives flexibility when configuring VQCM to meet individual organisations' specific requirements. It does mean, however, that not all users will see all of the functionality described in this guide.
There are 4 pre-defined user types, (for details see User Experience ("UX") Profiles):-

Administrators
Administrators can monitor and manage calls schedule calls. Administrators do not have visibility to the Call coApp and cannot, therefore, add participants to calls.
From the Activity view, you see all calls that are currently running and those that have terminated within the last 15 minutes. Calls can be managed from the Activity view.
The Meeting View displays calls that have been scheduled.
Operators/Super Users
As a Super User (SU) or Operator you can make ad-hoc and create scheduled calls for users within your Tenant or multiple Tenants, depending on your Access Control permissions.
Users
Users can see the Activity and Meeting views and make ad-hoc and scheduled calls on their Space(s).
NOTE: there are 2 versions of the Activity and Meeting views for users; advanced and more simplified. These determine the way the coApps display on the views (large and small) and also the type of schedule meeting form which displays (Advanced is more detailed). In future versions of VQCM, the simplified views will be phased out.
